We are currently booking private programs for January of 2026 and beyond. Our program calendar fills up very quickly! Email us or use the form below to contact us to set up details and secure your date!
About Private Programs
If you have a large group, need a more personalized experience, or the timing or locations of our regularly scheduled programs don't meet your needs please get in touch for a quote for a private program. We'll be able to give you an exact quote and discuss your scheduling needs by phone or email.
We are also happy to collaborate on proposals for grant funding, or to support your search for other funding options in order to make our programs financially accessible to your group.

- If you're interested in booking a private program, please be ready to:
- Pay 25% of the program cost to secure the date (this is nonrefundable and helps us to cover the costs we incur for scheduling and preparing for programs)
- Collaborate with us to secure an accessible program base, including:
- Parking and/or public transit drop-off
- Accessible restroom access - can be a permanent restroom or an accessible porta potty you provide
- Assist with outreach
- Recruit volunteers if needed

Private Program Costs
$100/hour per staff member for program time time, travel time, and 2 hours of set-up and clean-up. We expect to spend up to 5 hours coordinating your private program; if you have a need for additional time, such as outreach, meetings with stakeholders, etc that will also be billed at $100/hour.
Staffing ratios are generally:
- 2 staff members required for 3 to 10 participants
- 3 staff members required for 11 to 35 participants
- Please note: Groups beyond 10 will need to rotate time-slots. Generally, 1-hour to 1.5 hour timeslots work well.
- The staff ratios listed above are for overall program support and operations. If your program will be serving people who need 1:1 support, such as tandem cyclists or tandem paddlers, please be prepared to recruit volunteers. We'll provide a disability awareness training and a quick skills training when they arrive for the program.
$1/mile from our office location to program location based on Google Maps.
Our rates include $2 million in liability insurance, the expertise of our trained and certified staff, and program equipment and supplies.
We require a 25% non-refundable deposit to secure a program on our calendar. Unfortunately, due to the costs of staff scheduling and logistics, this is non-refundable even if we must cancel due to weather conditions. The remaining 75% will be due after your program.

A 3-hour cycling program for 15 participants on the Nashua River Rail Trail in Groton
3 Program Leaders for:
- 3 hours of program
- 2 hours set-up and clean-up
- 3.5 hours of travel time
Total staff time: 8.5 Hours x 3 Staff x $100 = $2,550
Travel: 88 one way x 2 x $1 = $176
