About Private Programs

If you have a large group, need a more personalized experience, or the timing of our regularly scheduled programs doesn't meet your needs please get in touch for a quote for a private program. We'll be able to give you an exact quote and discuss your scheduling needs by phone or email.

We are also happy to collaborate on proposals for grant funding, or to support your search for other funding options in order to make our programs financially accessible to your group.

Private Program Costs

$80/hour per staff member for program time time, travel time, and program set-up and clean-up. (Plan on an hour of set-up and clean-up on either end)  We expect to spend up to 5 hours coordinating your private program; if you have a need for additional time, such as outreach, meetings with stakeholders, etc that will also be billed at $80/hour.

We require a 25% non-refundable deposit to secure a program on our calendar.  Unfortunately, due to the costs of staff scheduling and logistics, this is non-refundable even if we must cancel due to weather conditions.  The remaining 75% will be due after your program.

To help you estimate costs for programs, a ballpark estimate for ratios isis:

  • 1 staff member for up to 5 participants
  • 2 staff members required for 6 - 12 participants
  • 3 staff members required for up to 25 participants

Our rates include $2 million in liability insurance, the expertise of our trained and certified staff, and program equipment and supplies.

A 3-hour cycling program for 15 participants on the Nashua River Rail Trail in Groton

2 Program Leaders for:

  • 4 hours of program
  • 2 hours set-up and clean-up
  • 3.5 hours of travel time

  Total staff time: 9.5 Hours x 2 Staff x $80 = $1,520

  Travel: 88 one way x 2 x $1 = $176

  Total program cost: $1,696
